Bulk TIN Matching lets you submit up to 10,000 TIN/Name pairs in one file and get results back—typically within 24 hours. Use it to reduce IRS notices and backup withholding by confirming that the payee name matches the TIN on file with the IRS.

Submit securely as an outsourcing or e-file software customer.
We process your list through IRS TIN Matching.
You receive a report by email, typically within 24 hours.

Matching Indicator (What each code means)

0 — Match: Name + TIN matches IRS records.
1 — Missing/invalid TIN: TIN was missing or not 9 digits.
2 — Not currently issued: TIN has not been issued.
3 — No match: Name + TIN does not match IRS records.
4 — Invalid request: Illegal characters (letters/symbols where not allowed).
5 — Duplicate request: Same TIN/Name already submitted.
6 — SSN match: Name + TIN matches IRS SSN records.
7 — EIN match: Name + TIN matches IRS EIN records.
8 — SSN & EIN match: Name + TIN matches both IRS SSN and EIN databases.

Why this matters: Using IRS TIN Matching before filing helps demonstrate due diligence. Under IRC §6724, penalties for incorrect TINs may be waived for reasonable cause (not willful neglect). Keep a copy of the results as documentation.

Valid characters for NAME:
A–Z, a–z, &, space, hyphen –, and slash /.
Not allowed: period ., comma ,, colon :, apostrophe ', and any other symbols like !@#$%^*()+=<>[]{}.

Common errors to avoid

TIN not exactly 9 digits (too short/long)
Illegal characters in NAME (periods/commas/apostrophes)
Extra spaces around separators (e.g., 2 ; 398415424 ; …)
Wrong TIN_TYPE (use 2 for SSN/ITIN, 1 for EIN)

TIN Match Ready Software

TIN Match Ready is a free program that anyone can download and use. The software performs several checks, namely: Verifies that the TYPE is either a 1 or 2 or 3.

Verifies that the TIN is the correct length and is just digits.
Verifies that the NAME consists of A-Z, a-z, space, hyphen and/or ampersand only.
Removes duplicate TINs from the file.

The data must be formatted perfectly before uploading via Bulk TIN Matching. Especially when working with large data files, this software will save you time in finding and correcting any potential errors before uploading.

I'd tried a competitor but have never changed since trying 1099Fire. They PICK UP THE PHONE and help with issues. I've tried both outsourcing to them (ACA reporting) and doing it myself, using their software. I went back to outsourcing, seeing how much time it can take to fix errors, how many complications can arise, and how much the IRS can F__k you for getting this wrong. Highly recommend 1099Fire!
