Form W-2 provides information to your employees, the SSA, the IRS,
and state and local governments. Employers must file Form W-2
for wages paid to each employee from whom:
- Income, social security, or Medicare tax was withheld or
- Income tax would have been withheld if the employee had claimed no more than one withholding allowance or had not claimed exemption from withholding on Form W-4, Employee's Withholding Allowance Certificate.
Also, every employer engaged in a trade or business who pays remuneration for services performed by an employee, including non-cash payments, must file a Form W-2 for each employee even if the employee is related to the employer.
Form W-2C is filed to correct a previous Form W-2 submission. File a Form W-3C whenever you file a Form W-2C with Social Security, even if you are only filing Form W-2C to correct an employee's name or Social Security number (SSN).
Our W-2 software makes it easy to import, print and/or electronically file Forms W-2, W-3, W-2C, W-3C securely and directly to the Social Security Administration.

The W-2/W-3 forms are different from the 1099 information returns in that you may use an acceptable substitute Form W-2 that complies with Pub. 1141, General Rules and Specifications for Substitute Forms W-2 and W-3. The substitute forms must be exact replicas of the official IRS forms with respect to layout and content because they will be read by scanner equipment.

Our W-2 software creates files in the format developed in SSA Pub. No. 42-007, Specifications for Filing Forms W-2 Electronically (EFW2). The system is updated each year to reflect the format changes that are made by the IRS (yes the IRS - while you electronically file through Social Security, the IRS creates the rules for efiling).

Furnish Copies B, C, and 2 to the employee generally by January 31. You can give Copies B, C, and 2 to the employee in person, send it by mail or convert to PDF and e-mail.
File Copy A with the SSA generally by February 29. Send all Copies A with Form W-3, Transmittal of Wage and Tax Statements. However, if you file electronically, the due date is March 31.
