Delete or Close BAD File through IRS FIRE System

In the past, if you uploaded a file to the IRS and then you wanted that file deleted
for whatever reason, you had to call the IRS and ask them to delete the file. That
took time because you would be on hold for 45-60 minutes waiting for an IRS agent to
then delete that file.

The FIRE System changed so that you can now delete BAD files on your own. You still
have to call the IRS to delete a file which has ‘Good, Not Released’ status. Here are
the steps.

1. Go to the site fire.irs.gov and log in.

2. Continue to the main menu and then click on Check File Status.  Search for your
file:close_file

Put a check in Close File to the right of the file you want to delete.  Type in the PIN associated with your
account and then click Close Selected Bad Files.  You can then search for the file again or refresh your
screen and that file will be highlighted in yellow and identified as a closed file.

8955-SSA Software: Why efile? I have less than 250 records.

Publication 4810 says:

A filer must generally file the Form 8955-SSA electronically if the filer is required to file 250 returns of any type during the calendar year that include the first day of the plan year. If a filer is required to file a Form 8955-SSA electronically but does not do so, the filer is considered not to have filed the form even if a paper form is submitted.

Form 8955-SSA is a niche form.  When you paper file niche forms such as 8955-SSA, 8027, 1042-S and others, there is a lot of hope and wishes that what you mailed to the IRS is received, that it is correct and complete and will be accepted.  Here are three (3) really good reasons to consider electronic filing your 8955-SSA data instead of paper filing:

  1. Quick results. If significant omissions or errors exist in the paper forms you mailed in, the IRS will eventually reject the paper forms and require you to resubmit.  It might take 6-12 months before the paper forms are rejected! In contrast, when you file Form 8955-SSA electronically, you receive the results in 3-5 days.
  2. Amendments.  If the transmit a file and the results are BAD, you can submit a replacement.  If you the results are GOOD, but you later discover that you transmitted erroneous data, you can submit an amendment for just the record(s) that held erroneous data and you will receive the results in 3-5 days.
  3. Proof of Submission. The IRS posts a receipt that shows when the file was received and the file status (whether its Good or Bad).  The receipt from the IRS is your proof of submission.  The receipt also gives you and the IRS the opportunity to track the file, data and results.

1099 Software: Why is the Create & Review button inactive?

If the Create & Review button is inactive or grayed out, then the software is either:

  1. Not registered, or
  2. Registered for paper filing only.

If you ordered the electronic filing version and the Create && Review button is inactive, please call our sales office at (480) 460-9311 and they can look up your order and provide a passcode that will activate this button.

1099 Software: Other than the presentation of the number on the actual form mailed out, does the hyphenation of the TIN number matter when filing?

Yes.  The TIN and TIN TYPE are efiled to the IRS.  If the TIN has 1-hyphen or dash, then its an EIN and that TIN TYPE is transmitted along with the TIN.  If the TIN has 2-hyphens, then the TYPE is SSN.  And if the TIN has no hyphens, the TIN TYPE is unknown.

1099 Software: How can I print multiple lines for a name or an address?

The vertical pipe or | represents carriage return.

Lets consider this example:

If you type or import:

The name and address will print as

National Software Incorporated

1099 Software: How can I convert to PDF?

You need a PDF print driver in order to convert to PDF.  There are lots and lots of free PDF print drivers on the web.  Download and install one.  In the 1099 software, import in your data and go to File/Print.  Select the pages you want to print and hit Ok.  Then a box will pop up asking you what printer you want to use.  There you select your PDF print driver.  Hit Print and another box will pop up asking you where you want to save the file and what name.  Save the file to the desktop and name it sample.pdf or any name.

1099 Software: How can I print Form 1096?

There are 3 ways where you can print Form 1096.

  1. File/Print.  Import in your data from excel or type in your data.  Go to File/Print or Print Preview and you should see this:

    Put a check in Form 1096 and hit Ok and try printing.  The software will automatically calculate the totals and number of forms. You can adjust the payment year and print offsets by clicking on Change 1096 offsets.

  2. 1096 Button.  In the upper right corner of your screen, there is a 1096 button:
    1096-buttonClick it and it pops up:
    form-1096-pop
    Double click on the payer listed in the table at the top and that will display the respective 1096 data.   To print, click on the Print button in the upper right corner.
  3. Form 1096 module.  Go to Forms/1096 under the menu.  Here you can fill out the 1096 form manually and then go to File/Print to print.

1099 Software: How can I align the data to print perfectly on the red-ink forms?

The red-ink forms are free and typically have a perforated edge and additional form copies attached.  The additional forms are almost like tissue paper and tear easily.  In the days before computers, you put carbon paper between the red-ink Copy A and Copy B and when you typed or used a pen and wrote really hard, a copy of the letter would be printed on Copy B and C and so on.  Modern computers lets you print directly on Copy A and Copy B and C can be printed on plain paper with black ink.

Tear off the perforated edge and retain just Copy A.  Insert Copy A into your printer and go to File/Print and put a check in Just Print Data. This will print just the data on top of Copy A.  Does the data print perfectly?  It should.  If it doesn’t, you can adjust the left and top margins to make it line up perfectly.

Look at Copy A for the 1099-MISC as an example.  There are two 1099-MISC forms per page.   The software has a left, top1 and top2 offset where top1 represents the offset for the 1st form and top2 is the offset for the 2nd form.  I have the below default offsets:

1099-print-offsets
top1 is 0.22 or starts printing 22 pixels from the top of the page.  If the data is printing too high, increase the value of top1 to move the data down. The form itself stays fixed.  If the data is printing too high in the 1st form, increase top1 to 0.27 which moves the data down 5 more pixels.  If the data is printing too low in the 1st form, decrease top1 to 0.18 which moves the data up 5 pixels.  You can do the same for top2.

We can efile any number of payer or payee records with complete security.  Here are the steps you would want to take to have us electronically file on your behalf:

1099 Software: How to efile a test file?

The IRS FIRE Test System is only available for part of the year.  Testing typically is available from November 1 through mid-March.

You must submit a test file if you are filing for the first time under the Combined Federal/State Filing Program (CFSFP).  You must submit one “Good” test file and then call the IRS at 866-455-7438 x3 and provide your TCC and the successful test file name and they will mark your TCC number as one that can participate in the Combined Federal/State Filing Program.

If you are not efiling under the Combined Federal/State Filing Program, then you don’t have to submit a test file but it is recommended. We submit 100’s of test files each year, many with errors, and we build in the IRS error responses into our software. If our 1099 software shows 0 potential errors, then the structure of the file is acceptable to the IRS and the results typically come back as “Good”.
